Procedure

This year, we encourage anyone who is potentially wanting to submit a panel to go ahead and pre-register for a 2022 badge. When submitting, please use the email that you used for registration. Our panel selection will be a bit more limited this year, as we add in buffer time between panels. We encourage panelists to submit fresh, new ideas for this year! However, we are offering THURSDAY NIGHT programming – if you have a workshop or panel that would fit, please submit!

We will also offer a waitlist for panels – if you’d like to be considered, please make sure to mark this in the form.

Our primary form of contact is through the Lead Panelist. It is their responsibility to relay information regarding schedules and check-in procedures.

However, we do require emails for all panelists. When submitting, please ensure you have properly and accurately filled out everyone’s contact information. If you did not fill it out correctly, we cannot guarantee reimbursement.

If filling out multiple submissions, please keep your information consistent and accurate. We require all panelists to put their legal name for the submissions. This is for registration’s records so we can match you accurately. We have had many panelists in the past who were not correctly accounted for due to misspellings of names/emails and panelists using multiple names and emails for the same name.

Reimbursement

Our panelist policy is simple this year – we will offer a compensated badge to any panelist who receives an approved panel. We will only compensate up to 3 people per panel. Anything after that, we will not compensate.

Rules and Guidelines

We here at Matsuricon take our panel selection as a point of pride. We receive hundreds of hours of submitted content which we must narrow down to what will be best for our show. We are always looking to expand our panel content and bring the best of the best to each convention year. For those of you who are looking to join our panel here are a few things that we are looking for as we move into the panel selection process.

  • Presenting panelists must be at least 15 years or older by time of convention.
  • All presenting panelists MUST be included on the submission form
  • The lead panel presenter MUST be available through email/contact
  • Panel slots are 50 minutes each. If you require more time, please make a note on your submission form.
  • The Panel submission form – no matter what your panel is about or how you are looking to present it, your submission form is the first and most important impression that we have of you. Take the time to make sure that you have read and responded to all of the questions we have asked.
  • We are asking for new panels and new ideas this year. However, we will no longer be accepting any type of, “Ask a Character” panel submissions. We encourage workshops (we will not provide materials – HOWEVER, you can charge an additional fee to cover your costs if you’d like to do so), academic presentations, roundtables, game shows (we will not provide any prizes), fan panels, etc!
  • Matsuricon WILL NOT supply any prizes or materials/devices for your panel, that is the panelists’ responsibility.
  • Matsuricon does NOT offer wi-fi so please plan accordingly.
  • Matsuricon offers microphones, sound, and projectors for presentations. However, panelists must provide any necessary laptop linking/power cables.  We will have HDMI cables available.
  • Failure to show up to your panel within 10 minutes of it’s start time is an automatic ban for one year from presenting panels. Absolute emergencies are the only exception.
  • If you need to cancel a panel that was accepted – it’s ok! We need to know before the con however – you can always email us to let us know. Cancelling the day of (absolute emergencies aside) will be considered a “no-show”, and is an automatic ban for one year.
  • Ratings – Please make sure that you’ve accurately rated your panel – we have our ratings guide to help you place it where it needs to be. This helps everyone of all ages decide on what content is appropriate for them! – please check out the Ratings and Guides page!
  • Be Gracious – whether all or none of your panels get accepted in 2022 remember that this is something that we all are part of and all enjoy. Just because something you submitted didn’t get accepted doesn’t mean that we don’t value you or your content, it means that it simply didn’t fit with our goals and needs this year. Likewise don’t assume that you know everything about what another panelist submitted or crow over others if your content did get accepted. We will not tolerate any bullying or shaming within our panel community. This ensures you’ve read all of the rules and will abide by them, or risk no longer running panels.
